Timesheets


The Timesheets feature in Radio Prep is a streamlined way for presenters to log their working hours and handle their invoicing with the station manager. It's designed to make the process of recording time and getting paid as smooth and accurate as possible.


How It Works:

Presenters can log into Radio Prep at any time and fill in their timesheets. They just enter the details of the show they worked on, including the date and time it took place and the rate they’re being paid. The program controller can preset the rate in the user settings, so the correct rate is always there by default.


Auto-Save and Flexibility:

One of the great things about the Timesheets feature is that it auto-saves. Presenters don’t have to fill out everything in one sitting. They can start logging their time for the week or the month, and then come back later to finish it off. Once they’re done, they just submit the timesheet.


Submission and Approval:

When a timesheet is submitted, it’s sent off to the program controller or a designated email address, like an accountant who handles payments. The controller can review it, approve it, and then send it off for payment processing. Presenters will get updates on the status of their timesheet, so they always know if it’s pending, approved, or paid.


Schedule Cross-Check:

A standout feature of Timesheets is its integration with the station schedule. If the station’s schedule in Radio Prep is kept up to date, the timesheet system will automatically cross-check the entered dates and times with the schedule. If a presenter claims a certain time slot, the system will verify that they were actually scheduled to be on air at that time. If everything matches, they’ll see a green checkmark. If there’s a mismatch, they’ll get a red cross, which could mean they accidentally logged the wrong time or date. This helps prevent errors and ensures that all the timesheet entries are valid before they go through.


In short, the Timesheets feature makes it easy for presenters to keep track of their work, ensures accuracy by checking the schedule, and simplifies the whole payment process for everyone involved.
